Privacy Policy

This policy explains how Evolve OS (“we”, “us”) handles personal information, in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
1. What we collect
- Account details — your name and email address.
- Content you create — the notes, meeting text, brand details, and other inputs you enter, and the AI outputs generated from them.
- Payment details— handled by Stripe; we don’t store your full card number.
- Usage data — basic logs needed to run and secure the Service.
2. How we use it
To provide and improve the Service, process your subscription, provide support, and meet legal obligations. We do not sell your personal information.
3. AI processing & overseas disclosure (important)
Evolve OS’s AI features send the content you submit to third-party AI providers to generate outputs. These providers — OpenAI and Anthropic — process data on servers located in the United States. This means your content is disclosed and processed overseas.
By using the AI features you consent to this cross-border disclosure. Please do not enter information into the AI tools that you are not permitted to disclose to overseas providers, or that you would not want processed outside Australia.
4. Who we share it with
We use trusted service providers (“sub-processors”) to run the Service:
- Supabase — database & authentication (data stored in Sydney, Australia).
- OpenAI and Anthropic — AI processing (United States).
- Stripe — subscription payments.
- Resend — sending account emails.
- Vercel & Upstash — hosting and rate-limiting infrastructure.
5. Where your data is stored
Your account and saved content are stored in a database hosted in Sydney, Australia. Content sent to the AI features is processed in the United States (see section 3).
6. Security
We protect your data with encryption in transit, database row-level security that isolates each account’s data, and access controls. No system is perfectly secure, but we take reasonable steps to protect your information.
7. Retention
We keep your information for as long as your account is active and as needed to provide the Service or meet legal obligations. You can ask us to delete your account and data.
8. Your rights
You can request access to, or correction of, your personal information, or ask us to delete it, by emailing hello@evolveos.com.au.
9. Cookies
We use essential cookies to keep you signed in. We don’t use third-party advertising cookies.
